Office Assistant, St. Paul's, Oakland
St. Paul’s in Oakland is seeking a part-time office assistant for 16-18 hours a week of which 6 hours will be on Fridays from 9 a.m. to 4:30 p.m. (Additional hours may be required during the 2 weeks preceding Christmas and Easter.) The salary is commensurate with experience. There are no benefits with this position. This position will be administratively responsible to the Parish Administrator.
Knowledge of:
a Modern office procedures.
b. Business English, including vocabulary, correct grammatical usage, and punctuation.
c. Modern filing methods.
d. Operation of standard office equipment.
e. Computer proficiency in MS Office and Outlook. Desktop publishing experience a plus.
Ability to:
a. Meet the public tactfully and courteously, answer questions in person and by telephone, and route calls effectively.
b. Establish and maintain cooperative and effective working relationships.
c. Type with accuracy at a speed of not less than 55 words per minute.
d. Understand and carry out oral and written directions.
e. Formulate written communications with accuracy of facts and meaning.
f. Handle emergency situations as they arise.
g. Maintain confidentiality on sensitive matters.
EXAMPLES OF DUTIES:
1. Receives visitors, answers inquiries, and provides information courteously and efficiently.
2. Makes appointments as required.
3. Schedules room reservations.
4. Update master calendar.
5. Composes correspondence as may be requested.
6. Maintains confidentiality of relationships and records.
7. Participates in staff meetings.
8. Inventories existing supplies and maintains sufficient inventory of office supplies.
9. Maintains filing system, and retrieves information on request in a timely fashion.
10. Prepares weekly worship materials.
11. Opens “general” office mail; routes designated mail.
12. Performs any other normal office procedures as required.
13. Performs other tasks as may be requested from time to time.
